Recurring invoiceson a schedule you set once

Save an invoice as a template with a schedule. On each date the invoice is created in QuickBooks Online, saved or emailed, and it can be charged to the customer's saved card or bank account.

What you're seeing

  1. Create Recurring Invoice on the opportunity's Quickbooks tab opens New Recurring Invoice, and the rep uses the QuickBooks customer Brightline Logistics, Inc.
  2. The template is named Brightline Dispatch Pro, monthly, and Process payments automatically is turned on with the saved Visa ending in 4242.
  3. Recurrence Pattern is set to Monthly, repeating on the 1st day of every month.
  4. The schedule starts Oct 1, 2026 and ends after 12 invoices, and each invoice is set to Save and Send.
  5. Save Recurring Template saves it, and the template appears on the Invoices tab with Next invoice tomorrow.
  6. Expanding the template shows its schedule: Monthly, 12 occurrences, Save and Send, the next send date and the online payment options.

Set it up onceand each invoice follows

A recurring invoice is a template on the record. It has the customer, the lines and the terms of a normal invoice, plus a schedule and what to do on each date.

    Open Create Recurring Invoice

    The invoice builder opens in Recurring mode. Name the template, pick the QuickBooks customer and add the lines.

    Choose the pattern

    Daily, weekly on a weekday, monthly on a day or a weekday of the month, or yearly on a date.

    Set the start and the end

    Start on any date. End never, on a date, or after a number of invoices.

    Pick the invoice action

    Save puts each invoice in QuickBooks. Save and Send also emails it to the customer.

    Charge it, if you like

    Process payments automatically charges a saved card or bank account each time an invoice is created.

    A daily job does the restQuickBooksRecurringSchedulerBatch

    Just after midnight it creates the day's invoices from their templates and sends them to QuickBooks.

Each invoice it creates is a normal invoice in QuickBooks and Salesforce, linked to its template, with its own status, reminders, PDF and payments.

Each invoice is due the template's terms after the day it's created.

Amount per invoice

The template shows what each invoice will be, with its lines, discount, tax and shipping.

Who can create them

Create Recurring Invoice shows for people with the recurring invoice permission set.

Cards and bank accounts are saved when a customer pays through Receive Payment, or added from the recurring invoice form.

Questionsabout recurring invoices

Which schedules can I set?
Every so many days; every so many weeks on a weekday; every so many months on a day of the month (1st to 28th, or the last day) or on the first, second, third, fourth or last of a weekday; or once a year on a month and day.
When are the invoices created?
A scheduled job runs once a day, just after midnight. It creates the invoices whose next send date is that day, sends them to QuickBooks Online and moves each template's next date forward.
How does a schedule end?
Never, on an end date, or after a number of invoices. The template keeps count of how many it has created.
Can each invoice be charged automatically?
Yes. Turn on Process payments automatically and choose one of the customer's saved cards or bank accounts, or add one. Each invoice is charged through QuickBooks Payments when it's created in QuickBooks.
What happens when the customer's card changes?
When a new card is saved for the customer, recurring templates that used their old card switch to the new one.
Does it work for donations and memberships?
Yes. Anything billed the same way on a schedule works: subscriptions, retainers, memberships and recurring donations.
