Estimates in Salesforcethat turn into invoices
Create a QuickBooks estimate from the opportunity, or any record with an account. When the customer accepts it in QuickBooks, the status comes back to Salesforce, and Convert to Invoice creates the invoice from it, linked to the estimate.

What you're seeing
- Estimate 1027 on the opportunity's Estimates tab changes from Pending to Accepted when the customer accepts it in QuickBooks.
- Expand shows the estimate, Accepted by Dana Whitfield on Oct 2, 2026, with its customer, dates and lines.
- Convert to Invoice opens Create invoice, From estimate #1027, filled in from the estimate.
- Save and Send creates the invoice in QuickBooks Online, and the estimate is marked Converted.
- Invoice 1044 for $20,900.00 appears on the Invoices tab, Open and due in 30 days.
Estimate to invoicewithout typing it twice
The estimate builder works like the invoice builder. What the customer agreed to is what gets invoiced.

Create the estimate
QBObyTALLY__QBO_Estimate__cCreate Estimate on the record: pick the QuickBooks customer, then the estimate date, expiration date, lines, discount, tax and messages. Save, or Save and Send.

The customer answers
Accepted, Declined or Closed in QuickBooks comes back to Salesforce, with who accepted it and when.

Convert to Invoice
The invoice form opens filled from the estimate: customer, addresses, lines, discount, tax, shipping and custom fields. Check the terms and save.

Linked and marked Converted
The invoice is linked to the estimate in QuickBooks, and the estimate's status becomes Converted.
More from the estimateon the same record
Every estimate is listed on the record with its number, when it expires, the amount and its status. Expand it for the rest.
Statuses
Pending, Accepted, Declined, Closed and Converted. Set one yourself with Mark Accepted or Update Status, with who and when.
Expiration dates
Each estimate shows how many days it has left, like Expires in 14 days.
Edit and send again
Edit changes the estimate in QuickBooks. Save and Send emails the new version.
Made in QuickBooks, too
An estimate created directly in QuickBooks shows up in Salesforce under the customer’s account, and one deleted in QuickBooks is removed.
Generate PDF
QuickBooks renders the estimate PDF and you download it from Salesforce.
Generate PO
Open the purchase order builder from the estimate, filled from it.
Who can send
Separate permission sets for Save and for Save and Send on estimates.
Accepted estimatescan start a Flow
QuickBooks doesn't turn an accepted estimate into an invoice by itself. In Salesforce the status is a field, so your own record-triggered Flow can act on it.
