Your QuickBooks custom fieldson the documents you build

Sync the custom field definitions from QuickBooks and see which objects each one belongs to. Then fill them in on invoices, estimates, sales receipts and purchase orders in Salesforce, and they reach QuickBooks with the document.

What you're seeing

  1. The Sync Custom Fields page in the Tally Hub has no custom fields yet.
  2. Sync from QuickBooks imports the custom field definitions and groups them by object: Invoices, Estimates, Sales Receipts, Purchase Orders and Customers.
  3. On the opportunity's invoice builder, the invoice's custom fields show as inputs, such as Customer PO and Install Date.
  4. The rep types BL-88213 in Customer PO.
  5. Save creates invoice 1043 in QuickBooks Online with the custom field filled in.

On the builders

Invoices, estimates and sales receipts show the sales form fields; purchase orders show the purchasing ones.

Values go to QuickBooks Online when the document is created, and show on the read-only views.

Two ways to syncfrom the same button

Every QuickBooks Online company can sync custom fields. QuickBooks Online Advanced companies can switch on Intuit's Custom Fields API for the full picture.

    Custom Fields API, for QuickBooks Online Advanced

    Off by default. Switch on Enable Custom Fields API (Advanced) to bring in every field with its data type and the exact objects it applies to.

    A fallback you don't have to think about

    If the API returns nothing, Sync from QuickBooks uses the standard sync instead, so the button always does something useful.

How do my QuickBooks custom fields get into Salesforce?
Open Sync Custom Fields in the Tally Hub and press Sync from QuickBooks. Tally reads your custom field definitions from QuickBooks and lists them by the object they apply to.
Which objects can a custom field apply to?
The manager groups fields under Invoices, Estimates, Sales Receipts, Credit Memos, Refund Receipts, Purchase Orders, Bills, Expenses, Vendor Credits, Customers and Vendors, following the objects each field is set up for in QuickBooks.
What field types are supported?
Text, Number, Date, Yes / No and Dropdown. Each field shows its type, whether it's active, and whether it prints on the form.
Where do the fields show up in Salesforce?
On the invoice, estimate, sales receipt and purchase order builders, as inputs next to the other document fields. Whatever the rep enters goes to QuickBooks Online with the document, and the read-only views show it afterwards.
Do I need QuickBooks Online Advanced?
No for the standard sync, which reads custom fields from your QuickBooks preferences. QuickBooks Online Advanced companies can also turn on the Custom Fields API (off by default), which brings in every field with its data type and the exact objects it applies to. If that API returns nothing, Tally falls back to the standard sync on its own.
Can a Flow fill in custom fields?
Yes. The Create Invoice on QBO - Easy Setup and Create Sales Receipt on QBO - Easy Setup Flow actions take a Custom Fields Collection, so automated documents carry the same fields.
